(“ES” or “We”) take the issue of client privacy seriously and have created this policy to demonstrate our commitment to protecting your privacy. Engagement Systems' privacy policy applies to all websites, products and services owned and operated by Engagement Systems (www.EngagementSystems.com) and our parent company, Mail Print, Inc. (www.mailprint.com), collectively, the “Site”. Please read our policy to understand how your personal information will be used.

We do not sell your personal information to any third party. Furthermore, we will not sell, rent or loan your contact lists to any outside firms, nor will we use your contact list(s) for our own marketing purposes.
What the Policy Covers
This policy covers Engagement Systems’ collection of personal information that we gather when you visit our site and/or use our products and services. It also covers the treatment of contact lists and information that you provide to us when subscribing to our services for the purpose of Engagement Systems sending communications to your contacts on your behalf.
How Information is Collected and Used
Engagement Systems collects information in several ways from different parts of our web site. When you visit our site to register, request further information on our products and services or download certain information, some personal information - such as name, address, email and phone number - is gathered. We may also ask for additional demographic and organizational information in order to provide you with a more personalized customer experience.
In the course of transacting business with you, Engagement Systems acquires, stores and transmits communications and information that you may regard as private or sensitive. Some of this information – name, address, phone number, email, credit card data, financial qualification and billing information, and identity of users within your organization that will be using our products and services - is provided to ES by you during the account set up process in order to establish service and deliver goods for which you have contracted. This information is necessary to conduct business with us and in order for ES to perform its duties and execute fulfillment of your orders. This and other information is created and maintained by Engagement Systems in the normal course of providing service.
All financial and billing information that we collect is used for the purpose of checking your qualifications as a prospective customer and billing you for our products and services. Engagement Systems through our parent company (Mail Print) may use a third-party intermediary to manage credit card processing. As such, this intermediary is solely a link in the distribution chain and is not permitted to store, retain or use the information provided, except for credit card processing.
Engagement Systems is integrated with your organization’s CRM system, ERP system or other central database. Engagement Systems’ back-end system will access your prospect and customer data - such as name, mailing address, email address, preferences or event triggered fields - residing within the system or database to facilitate timing and execution of communications sent on your or your organization’s behalf. In addition, Engagement Systems will also synchronize and write information relative to the execution of communication programs back to your system or database where this information is stored, based upon agreed to business rules. ES will not review, share, distribute or reference any such customer information except as provided for in the Service Agreement or as may be required by law. Notwithstanding the foregoing, customer information may at times be viewed by ES for the purposes of resolving questions, support issues, investigating a suspected violation of the Service Agreement, or as may be required by law.
Engagement Systems, as a provider of direct response marketing programs, may store customer lists (including mailing addresses and email addresses) provided by you, as well as lists acquired on your behalf. This information is only used to execute communications on your behalf; at no time will Engagement Systems use these lists for marketing purposes.
Marketing Information/Opt-Out
Engagement Systems collects opt-in personal information such as name, mailing address and email so that we may periodically provide valuable information regarding new products and services, exclusive promotions, marketing innovations and tips, and industry trends. Visitors to www.EngagementSystems.com opt in for these communications by providing personal information to download information from the site. Engagement Systems’ opt-in/opt-out policy applies to marketing information only. Other communications, as specified in the “How Information is Collected and Used” section of this policy, are necessary in conducting business with us.
Third Parties
Third party vendors may be utilized to perform certain tasks on our behalf. As a result, Engagement Systems may need to share your information with them to provide products or services to you, such as: sending postal mail and email, removing repetitive information from customer lists, analyzing data and processing credit card payments.
Third Party Sites
The Site contains links to other web sites. Engagement Systems is not responsible for the privacy practices or the content of these web sites. When clicking on these links, you are no longer protected by this Privacy Policy and you should check the policy statement of these other web sites.
Security
Engagement Systems will only access and pull data from your organization’s system that we map to in order to execute client communication programs, based on the business rules defined by your organization. This is controlled via Engagement System’s integration code and cannot be overridden by any ES employee. All data remains the property of your organization and will not be used by us for any other purpose than to execute the Service Agreement.
Engagement Systems and Mail Print takes every precaution to protect your information both online and offline. We use secure sockets layer (SSL) so that all data transmitted from your Web browser to our Web server is encrypted. The same SSL protocol also acts to authenticate the Site and prevent unauthorized “hackers” from masquerading as Engagement Systems or Mail Print. If another web site attempts to falsely identify itself as Engagement Systems or Mail Print, your web browser will display a warning.
Access to our network is restricted and can only be accessed by users with a valid login and password. No data can be accessed without proper credentials. Network security is enforced using Microsoft Active Directory technology. Engagement Systems uses a role-based approach to security to ensure that no ES employee has access to data not directly related to fulfilling their job requirements. Furthermore, all servers that contain sensitive data are locked in a secure data center. All staff members are held to a Confidentiality Agreement and Engagement Systems reserves the right to execute background checks on its personnel.
Engagement Systems is physically located in an underground complex. The entrance to the facility is monitored by security staff and video surveillance 24/7/365, using photo ID badges and car stickers to identify employees. Entrance to our building is further secured with programmable electronic locks that allow us to monitor and control who enters the building.
Any data to be retained, such as your billing information, is stored on secure servers in a locked room and is password protected. Access is restricted to authorized employees that need the information in order to perform a specific job function (e.g. billing clerks). Any backup tapes are stored off-site for additional protection and tapes older than one year are incinerated to ensure total data destruction.
